The short version
- We collect what you type into our forms, to reply to you.
- We research publicly available business information to send a small number of local businesses a one-off letter about our website service.
- We don't buy marketing lists, we don't send marketing email without a lawful basis, and we honour every opt-out permanently.
- No advertising cookies, no tracking pixels.
- Email us and a human sorts it.

Data you give us (forms & email)
What: name, contact details, company, message content.
Why: to respond and, if you become a client, to deliver the service.
Lawful basis: legitimate interests (responding to your enquiry) / contract (clients).
Kept: enquiries [12 months] then deleted unless you became a client; client records per contract & accounting law.

Data we research for postal previews
To show local trades what we do, we occasionally build a private concept website for a business and post a letter about it. To do this we collect publicly available business information — your business name, trade, public business address, and details published on your own site or public listings.
Lawful basis: legitimate interests in business-to-business direct marketing by post.
We balance this by: post only (no cold calls or cold emails as first contact), business details only, private previews that are never published or indexed, nothing invented about your business, and a permanent opt-out honoured across all channels (opt-out.html).
Research on businesses we don't contact is deleted within 90 days; uncontacted lead records within 180 days; contacted-no-response records reviewed and deleted/anonymised after 180 days.

Concept previews
Previews are demonstrations: private links, marked as concepts, not indexed by search engines, no functioning contact forms, built only from public information. If you want a preview corrected or removed, one email does it: info@workflowforge.co.uk.

Opt-out & suppression
Ask us to stop — via opt-out.html, email, or post — and we add your details to our suppression list within 2 working days, covering post, phone and email. Suppression lists work by keeping a minimal record (the detail to suppress and the date) so we can honour your objection permanently; that's the only thing we ever use it for.

Cookies & analytics
This site sets no advertising or tracking cookies. That's also why there's no cookie banner.

Where data lives & security
Hosting in [UK/EU — confirm with host], access limited to the people running the business, forms transmitted over HTTPS, form submissions delivered to our company mailbox. AI tools may be used to help draft content from research files; they are not given more personal data than needed and never make decisions about you.

Your rights
Under UK GDPR you have the right to access, rectify, erase, restrict, and object to how we use your data — objection to direct marketing is absolute: object and we stop.
To exercise any of these rights, email info@workflowforge.co.uk. You also have the right to complain to the ICO (ico.org.uk), though we'd appreciate the chance to fix it first.
